Office Organisation Ideas for the Christmas ShutdownAt this time of year, it’s a good idea to tie up any loose ends in your business. We’ve shared some of our top office organisation ideas for the Christmas shutdown, so you can relax and enjoy the festive season.

At Admin Assassin, we regularly reorganise our small business clients’ offices. We always recommend an end-of-year office tidy up because when you have more space, you can think more clearly. By reorganising your workspace, you can get rid of any clutter and file things away in their proper place. Say goodbye to piles of post-it notes and hello to more desk space!

1. File paperwork

Start by filing away paperwork and prioritise your documents. Create separate piles for documents that need to be kept, shredded, binned, or archived. This will create more room in your office and, most importantly, you will be able to find important files quickly. The more organised you are, the easier it’ll be to find what you need when you need it.

2. Archive documents

After you’ve filed what you need to keep, and you’ve dealt with the shredded and binned piles, put the rest in archive boxes. Store out of sight and away from your office to keep the space clear. Archiving usually contains documents such as old financial statements, past client files or marketing items. Try to archive only essential information to free up space in your office.

3. Organise online files

Now take a similar approach to your online files. Clear out any old files and documents that are taking up disk space on your computer. Pay particular attention to large files such as images and videos, as they often come in huge file sizes.

And if you have cloud storage, don’t assume that this doesn’t matter. At some point you might reach your data storage limit! Well-organised online files means you won’t have to pay to upgrade your cloud storage.

4. Clear email inboxes

Emails are the bane of most business owners’ lives! There’s nothing more depressing than wading through 1 zillion emails. Not only is it impossible to find the email you are looking for, but it can cause you to miss important customer or supplier messages.

When organise our clients’ emails, we simplify their inboxes. We might suggest a small number of e-folders and then file emails accordingly. Depending on your email system, we might suggest that you use colour-coded categories to label emails that need actioning.

5. Update CRM systems

If the run up to Christmas is a less busy time for your business, then it can be a great opportunity to update your CRM. Quieter days mean more inputting can be done! So, if you’ve been waiting to add new data, run some updates or reconfigure a system, then include this in your office tidy-up. But if data entry isn’t your thing, then speak to us! 6. Book an Office Organisation Day
